EXHIBIT INFORMATION

GOALS

The HypnoBirthing® Institute’s purpose in conducting this Conclave is to advance knowledge within the fields of childbirth, hypnosis, and mind development through education, communication, resource information and its exhibit program.  The HypnoBirthing® Conclave Committee, in keeping with its stated purpose, encourages that exhibits be educational, communicative, and provide resource information.  All exhibits and products must be relevant to the goals of the HypnoBirthing® Conclave and in the professional interests of the registrants. 

The exhibits are a valuable part of the Conclave and provide an excellent opportunity to present information on your company and its resources.  The exhibit area should be a top priority for our attendees.

THE AUDIENCE

A large number of HypnoBirthing® practitioners and other professionals in the field are expected to attend the 8th HypnoBirthing® International Educational Conclave in Florida.  The HypnoBirthing® Institute does not provide membership lists to outside organizations; so exhibiting at the Conclave is the only way to effectively reach the vast HypnoBirthing audience, eager for products, services, and information that will assist in furthering their educational and professional objectives. When you reach attendees at the Conclave, your message will also be shared with their local colleagues and multiplied across the country in newsletters and emails.

SELECTION OF EXHIBITORS

The HypnoBirthing® Conclave Committee encourages companies that produce and/or distribute materials relevant to the professional development of Conclave attendees to take advantage of this opportunity to exhibit. Appropriate exhibitors include publishers, equipment manufacturers and distributors of baby products, professional education services, etc.  The purpose of all exhibits shall be to serve the interests of the Conclave attendees.  HypnoBirthing® reserves the right to require the immediate withdrawal of any exhibit deemed to be detrimental or irrelevant to the purpose of the HypnoBirthing® Conclave.

THE CONCLAVE 

All exhibits, seminars and workshops will take place at the Embassy Suites Deerfield Beach Resort & Spa, Deerfield Beach, FL. Exhibits will be conspicuously displayed in an exhibit hall.

SPACE ASSIGNMENTS

The HypnoBirthing® Conclave Committee will make space assignments on a first-come, first-serve basis, provided full payment is received at the same time as the application.  No assignment will be made until payment has been received.   Exhibit assignments may not be changed without approval.

EXHIBIT SPACE 

The Conclave Committee will provide you with one 6-ft skirted banquet table, 2 chairs and a wastebasket.

  • Each exhibit space is 6-ft long & 8-ft deep in width. Exhibitors requiring more room may purchase two spaces.
     

  • Complimentary admission to any of the 90-min. Conclave seminars will be extended to two persons from each exhibit. Tickets for 3-hour workshops may be purchased.

SHIPPING INSTRUCTIONS

 Exhibitors are responsible for the arrangement and expenses of shipping materials, exhibits or any other items to and from the Hotel. All items must have name and date of conference, address, a return address and phone number. Items must be sent no more than 3-days in advance of the event.

EXHIBIT SCHEDULE
 
Installation:*

Friday, September 11, between 3-5 pm
Saturday, September 12, 7 am until 9 am

Exhibit Hours:*

Saturday, September 12, 9 am-5 pm
Sunday, September 13, 8 am-4 pm

*Exhibits may be dismantled no earlier than 4 pm on Sunday; exhibit area must be clear of all materials prior to 5 pm on Sunday, September 13. 

INSTALLATION

The exhibit areas will be ready for set-up and installation on Friday, September 11, between 3-5 pm and at 7 am on Saturday, Sept. 12.  Any exhibit space not claimed by 9 am on Sat., Sept. 12, may be canceled or reassigned without refund. The Exhibit, with all materials to be displayed during the Conclave, must be ready for review by 9 am Saturday morning.

EXHIBITOR REGISTRATION

Exhibitors must list all exhibit personnel on forms provided by the HypnoBirthing® Institute.  Exhibitor registration will take place in the conference lobby of the Hotel on Friday, between 3-5 pm. Exhibitor badges and a Conclave program will be distributed at that time. Exhibit personnel must wear badges for admission into Exhibit area and classrooms.

SECURITY

Exhibitors must make provisions for the safeguarding of goods, materials, equipment and displays at all times. Security will be provided for the Exhibit Rooms, but neither the HypnoBirthing® Institute nor the Embassy Suites guarantees exhibitors against loss or damage of any kind.  All exhibitors must have proper identification to enter the exhibit area.

SMOKING

We appreciate your cooperation in maintaining a smoke-free environment in the exhibit area.

EXHIBIT LISTING

As an exhibitor, you will be listed in the Conclave Guide, designed to give your company additional exposure during the Conclave as well as after attendees return home.  The Conclave Guide is used by attendees throughout the Conclave.  Your listing will include your company name and address, exhibit number, location of exhibit, and a brief description of your product or service.
